Group trips go smoothly when the decisions are made in the right order and early enough that each one has room to breathe. Here is the sequence we use, counted back from departure. Timing varies by destination and group size, so treat the months as a shape, not a rule.
Nine to twelve months out: the frame
- Purpose, destination and dates, with a backup week.
- Who the trip is for, the minimum and maximum group size, and who leads.
- A draft budget with per-person and shared costs separated.
- Any partner on the ground confirmed in writing.
Six to nine months out: registration
- Registration opens with the price, the deposit, the refund terms and the dates in one page.
- Deposit deadline set ahead of your first non-refundable booking.
- Group air or lodging held once the minimum is reached.
Three to six months out: the bookings
- Air, lodging and ground transport booked against the confirmed headcount.
- Passports checked for validity well past the return date, and visa needs confirmed where they apply.
- Travel insurance options presented to travelers.
- Payment schedule communicated with reminders on the calendar.
The last month: the briefing
- Final payments collected and rooming lists set.
- Packing list, itinerary and emergency contacts sent to every traveler and family.
- A pre-departure meeting with questions answered in person.
- Documents gathered in one place, with copies held by a leader.
